Job Purpose:

Receptionist is responsible for performing the Company’s reception and guest communication services i.e. operating the telephone switchboard, handling a welcome presentation and briefing on the Company published information such as the Company’s profile, performance, and business direction. The job holder ensures the security of the office entry permission and is required to report supervisor/manager in case of emergencies arising during office hours.



Key Accountabilities:

Telephone Operator:

– Operate the Company’s telephone switchboard including connecting incoming calls to various Company’s residents and answering the customers’ inquiries providing general information about the Company.

– Provide general information to telephone users including keeping update all residents’ numbers in the telephone directory.

– Maintain the updated name of duty officers, dulling duty engineers, geological duty officers, and necessary updated information available at all time.

Receptionist:

Welcome visitors when they arrive PTTEP Algiers office with pleasant and friendly personality to ensure their positive first impression to the Company while following PTTEP Algiers’s house rules – the activities will also include :

– Contact/Inform  the residents of their visitors/guests

– Provide advice to visitors/guests on appropriate channel/department to contact with

– Ensure that the visitors register their names and wear visitor cards.

– Manage the company’s pool cars, including renting, and servicing requirements as well as assign the driver as per request.

– Ensure the meeting room reservation schedule.

– Take care the business travel request (BTR) including ticket reservation, tracking/filing record.

– Responsible for hotel reservation including tracking/filing record.

– Maintain professional relationships with residents. Maintain residents’ confidentiality. Be sensitive to cultures other than your own. Be respectful of all residents.

– Contribute to the Company’s positive image by a warm and pleasant welcome at all times.

– High quality of services provided to user on various activities related to telephone operator.

– Reception services are carried out in compliance with Company policy.

– Accurate and adequate information on the Company’s profile and other Company’s published information are provided to visitors/guests when/as needed.

– Clean and tidy condition of the reception area to be ready to welcome VIP/visitors/guests at all times.

– BTR and flight information as well as hotel reservation done efficiently.

– Ensure safety of the visitors in case of emergency. Follow the company’s SSHE policies and regulations in all work under responsibility

Professional Knowledge & Experience:

– High vocational certificate or diploma in related field

– 1-2 years of experience in administration or related areas.

– Good command of written English (TOEIC Score Requirement : 400)

– Ability to operate PC

– Good Service mind and interpersonal skills

– Administration knowledge
